System Roles

There are four user roles in Taleo available, depending on what you will need to do in the system. Some staff will have more permissions and more responsibilities than others. You can review this chart before requesting access to the system. Remember, once you have been assigned a role, you will still need to be assigned a function

Requisition Functions

Once you have a role in Taleo, you can be assigned a function. A function is what allows you access to a particular requisition in your department. Before a requisition is approved, you can go in and add users directly under the Owners section of your requisition file. After it has been approved or posted, you can contact HR to add new users.
 
Hiring Manager
  • May view and edit the requisition
  • May view applicants
  • May manage applicants and create offers
Must have a Hiring Manager role in Taleo
Assistant
  • **Serves as a Backup Hiring Manager
  • May view and edit the requisition
  • May view applicants
  • May manage applicants and create offers
Must have a Hiring Manager role in Taleo
Collaborator
  • May view and edit the requisition
  • May view candidates
May be any role in Taleo


Focus: Assistants and Collaborators

Assistants may serve as an assistant Hiring Manager on your requisition. They are the only other person of any function who may perform the same tasks managing candidates as the Hiring Manager. This person must already have a Hiring Manager role in the Taleo system.

Most people who look at your requisition will be collaborators, and you can assign as many collaborators to your requisition as you need. Like any other function, collaborators must first have a role in the Taleo system. Collaborators may review and edit the requisition while it is still being created, and they may review candidate materials once the requisition is posted. Users with any system role may be assigned as collaborators.

There are two primary groups of people you need to make sure to include as collaborators. These are your approvers, the staff in your department who will need to review the requisition before it is posted, and your hiring committee, who will need to review candidates.

To add these people to your requisitions, go to the Owners section of your requisition file and find the box labeled Collaborators. If you are managing a list of Frequent Collaborators, you can add them here with a single click. For any other collaborators, click Modify and use the search box to add them by hand.
